Administrative Assistant / Receptionist Houston Office

2020 Exhibits, Inc. is looking for an energetic front desk receptionist who can provide efficient, organized and friendly secretarial support. Skilled at managing inventory and supplies, handling phone duties and company correspondence, and appointment scheduling. Greet clients - able to create a professional, friendly and receptive office environment. This candidate must be reliable and detail-oriented. Must be resourceful and possess a proactive attitude.

RESPONSIBILITIES:

  • Prepares the Office for daily business
    • Ensure conference rooms are ready for daily use
    • Ensure public areas (Café, Restrooms, & Lobby) are ready for daily use
  • Answer multi-line phone and direct calls accordingly
  • Greet clients/visitors and direct them accordingly
  • Maintains Conference Rooms schedules for all client and internal meetings
  • Stock/Inventory all supplies & Place weekly supply order
  • Sales Lead Distribution
    • Record and maintain all leads in System and on appropriate spreadsheets
    • Maintain individual Account Executive’s rolling lead reports
    • Direct call-in prospects appropriately to Account Executives
  • Maintain the cleanliness and readiness of public areas: Café (Kitchen), Restrooms, & Lobby
  • Prepares the Office for close of business
    • Ensure conference rooms are cleaned and all monitors shut down
    • Ensure public areas (Café, Restrooms, & Lobby) are cleaned and all monitors shut down

REQUIREMENTS:

  • Proficient in Microsoft Excel, Microsoft Word, and Outlook
  • At least 5 years of administrative experience
  • Must be able to multi-task
  • Excellent organizational skills
  • Excellent customer service skills
  • Able to work under strict deadlines
